need ideas for inventory control of similar items....

Hi, I built an OSC store for a friend, a collectibles site, came out nice. Now I'm helping to enter items and realizing we will soon have a problem. Although my friend has multiple quantity for many items, he insists to describe each item individually with many pics, which I kind of understand, because he wants the customer to have the best possible description of what they're getting. That's great, but it does pose a problem where we are going to have thousands of "one-time" items piling up on the server and 'sold outs' as well.
My friend is learning the admin side of OSC pretty well, but I know, when he is finally on his own, he is NOT going to delete items, and will likely be destined to always entering new items (which is time consuming).
Problem 2, is that there are some 'mint' items that can be controlled but how to distinguish them from the similars when there are thousands of items?
Any suggestions, contributions, anything that can help is much appreciated.

As far as I can see this isn't an issue of OSC at all but rather an issue of database management... I am running a pretty similar operation to your friend as I sell used vinyl records and I don't do quantities above 1 at all, even if I have several copies of a record, each one is unique and has its own grading and description.

However because I really always keep my inventory up to date all I need to do is delete all my shop categories (which removes all inventory) and re-upload a fresh, up-to-date spreadsheet via EasyPopulate. This works well for me as sold items are removed, new stock is added, and any amendments to my inventory are carried out in one operation.

As far as the 'Mint / similars' issue goes, I am a bit unclear what you mean, but if you have several items that are the same object but in different conditions, you need to grade and describe them, and add a stock code into the listing, then label your item accordingly. So for example you have a product description "Van Halen OU12 LP Near Mint vinyl and sleeve copy 2 of 3" then you get a sticker and label the record "copy 2 of 3", then you'll know what you're doing.

Actually I just worked out it is even easier than that, you don't need to delete any categories or inventory, just select 'update' when you re-upload your stock with EasyPopulate...

- You will assign all your items a 'model number' (v_products_model) on the spreadsheet - 1,2,3,4 etc.
- When you update your inventory item 1 will be overwritten with new item 1
- so long as you have the same number of items in stock (or more) your new OSC inventory should match your database exactly!
